Leibniz University Hannover events calendar – Data protection information

The security of your data is of the utmost importance to the Communications and Marketing unit at Leibniz University Hannover (LUH). We therefore provide information on this page regarding data protection as it relates to the use of your data as part of the listing of events in the online calendar on the central website. We also provide assurance of our compliance with all relevant legal regulations, in particular the EU General Data Protection Regulation (GDPR) and the Lower Saxony law on data protection (NDSG).

Data protection and data collection

The subject of data protection is the personal data, as outlined in article 4 (1) of the GDPR, that you transmit to us when entering an event in the events calendar or through the subsequent addition of information. This personal data relates to you, as the person entering the event information and submitting the form (freely chosen contact information for follow-up questions from the web team), as well as to the presenters at the event and a possible contact person (public contact). 

Purpose limitation

Your personal data as the person entering the information is saved in the databank of the events calendar and will only be used in the event of questions about your entry on the part of the Communications and Marketing web team. It will not be published or disclosed to third parties. The personal data of the individual/s presenting at the event and, where applicable, a contact person will be saved in the databank of the events calendar and published on our website.

Data security

Your data is securely stored on the LUIS servers (Leibniz University IT Services) of Leibniz University Hannover and will not be disclosed to third parties. LUIS takes appropriate technical and organisational measures for the security of your data and protects it, in particular against access by third parties or unauthorised persons, in accordance with the current state of the art. The members the Communications and Marketing staff are obliged to maintain confidentiality and compliance with data protection. 

Withdrawal of consent

Consent to the processing of personal data can be withdrawn at any time. The withdrawal applies to the future. Withdrawal of consent will not affect the lawfulness of processing of data carried out on the basis of consent until its withdrawal. Withdrawal of consent should be addressed to the relevant department processing the data.

Purpose of data processing 

Publication of event listings in the LUH online events calendar

Legal grounds for data processing 

The legal basis for the processing and publication of event listings in the online events calendar is Article 6 (1) (a) of the GDPR.

Duration of storage

The event listings are generally online for a maximum of five years. 

Rights of data subjects (Articles 15 to 21 GDPR) 

According to Articles 15 to 21 GDPR, you have the following rights regarding your personal data:

  • Right of access
  • Right to rectification
  • Right to erasure
  • Right to restriction of processing
  • Right to data portability / right to receive a copy

You have the right, for reasons resulting from your particular situation, to object to the processing of relevant personal data according to Article 6 (1) (e) or (f) GDPR at any time. 

Recipients of personal data for the freely chosen contact information of the person entering the data: 

  • Communications and Marketing web team (see above for the address)
  • For the published personal information of the presenter/s and a possible public contact person: Worldwide public (Internet)

Obligation to provide personal data 

There is no obligation to provide the data. Event listings can also be submitted and published without the provision of information about a presenter or of a public contact person. The freely chosen contact information for the person entering the information does not have to be personal and can be generic (e.g. the name of an LUH institute).  

Revoking consent 

Consent can be withdrawn at any time. The withdrawal applies to the future. Withdrawal of consent will not affect the lawfulness of processing of data carried out on the basis of consent until its withdrawal. Withdrawal of consent should be addressed to the relevant department (see above). 

Categories of personal data that are processed 

  • Optional fields:
    • “Presenter/s” text field: In general, this entry encompasses the academic title, first and last names, and the institution (university, institute, possibly the city/town).
    • “Public contact” text field: Can be freely chosen by the person entering the information. In general, this encompasses the academic title and first and last names of a public contact person.
    • “Institution”, “street”, “address”, “postal code”, “city/town”, “phone”, “fax” and “email” refer to the public contact person.
  • Required fields:
    • “Contact information for web team”: Can be freely chosen by the person entering the information. In general a name and a phone number or an email address are entered.

Right to complain

Data processing is subject to the supervision of the Commissioner for Data Protection of Lower Saxony, with whom complaints may be filed. More information and contact details can be found at https://www.lfd.niedersachsen.de/startseite/
